Position Description:

We are looking for someone who is self-motivated, adapts to change with a positive attitude, a quick learner, and has the confidence to ask for help when needed. • Manage executive’s daily schedule and Outlook calendar, proactively resolving conflicts, updating meeting notices and posting agendas, preparing material for day(s) ahead, as needed • Coordinate and schedule executive’s cadence meetings, 1 on 1’s and one-off meetings as requested by the executive and/or other members of leadership, often involving global personnel/locations through use of WebEx technology • Manage CSI WebEx Teams Space (add & remove contacts, post messages, etc.) • Schedule travel (domestic & international), process expense reports, and reconcile monthly statements • Maintain general office files which may be physical documents or online and stored via SharePoint or other Shared Drives • Manage CSI Department SharePoint site, managing and granting access, keeping the documentation updated and organized • Coordinate and manage corporate Drive Letters. • Coordinate and/or handle U.S. and inter-Company incoming/outgoing mail. Coordinate label creation for outgoing packages. • Manage minor expenses for department within corporate policy and use of special organization credit card • Create and modify Word and Excel documents, distribute documents to organization, print, photocopy, scan and fax documents as requested • Coordination of department events, meetings, communications. Order supplies assist in the onboarding/offboarding of new department employees (seating, badges, timekeeping systems, etc.). Coordinate and manage timely issuance of Drive Letters. Admin function of the following corporate systems will be required: Concur, EIDM, Netbadge, eWHMS, Aurora, BulkMail, SharePoint, DocuSign

Skills Required:

Proficient experience w/: Microsoft Office Outlook Excel Concur BulkMail SharePoint

Skills Preferred:

excellent verbal and written communication skills detail oriented

Experience Required:

• 5+ years’ experience as an executive assistant supporting senior leader(s). • 5+ years of experience in a complex organization similar to the client

Experience Preferred:

• Experience working with VPs, Directors, Chiefs, and their Executive Assistants

Education Required:

• High Diploma or GED.

Education Preferred:

• Bachelor's Degree, preferred
