Position Description:

Manage Chief’s daily schedule and appointment calendar, meeting notices and agendas, and prepare material for day(s) ahead. Resolve scheduling conflicts in a timely manner and issue new meeting notices, often involving global personnel and locations and use of WebEx technologies. Manage SharePoint site, adding meeting materials on a daily basis for Chief’s meeting usage. Maintain office filing system and record retention. Manage incoming and outgoing mail and manage e-mail correspondence including monitoring for priority, responding to scheduling changes and urgent requests or other tasks while Chief is in meetings or away from office. Receive and screen telephone calls and voice mail and respond to requests for information. Create and modify Word and Excel documents, distribute documents to organization, print, photocopy, scan and fax documents as required. Coordination of department events and meetings, supply ordering, assisting in the onboarding/offboarding of new/former department employees (laptops, seating, phones, badges, etc.), travel arrangements, Drive Letter coordination, invoice tracking, work order requests, work closely with the Chief Engineer to remain apprised of/schedule upcoming commitments, attend meetings and capture major next steps. Work with the Chief Engineer to ensure appropriate and timely communication

Skills Required:

Strong verbal, written and interpersonal communication skills. Represent office in a professional manner. Interface effectively with employees at all levels including Senior Leadership. Proficient in use of Outlook (Email, Calendar and Notes), Internet/Web sites, SharePoint and Microsoft Office (Word, PowerPoint and Excel). Ability to keep secret and confidential information secure. Well organized with the ability to work with minimal supervision, ability to problem solve. A team player willing to help when the need arises. Proactive and can identify and propose fixes for office needs, scheduling concerns or other issues - requiring minimal management follow-up. Ability to plan, prioritize and support multiple assignments and projects simultaneously. Attention to detail and high level of accuracy.

Skills Preferred:

PD experience desired

Experience Required:

5 years’ experience as an Administrative Assistant

Experience Preferred:

Experience working with Directors, Chiefs, Managers and their Administrative Assistants

Education Required:

Bachelor's Degree, preferred
