Job Description:

  • Office and Culture Coordinator.

  • Manage administrative and day-to-day operations of the UX office including: - Maintenance of office supplies, area and equipment.

  • Receive and sort mail/deliveries/couriers including routing to recipients.

  • Serve visitors: greet, welcome and announce them appropriately.

  • Provide exceptional service over the phone and in person with internal team, visiting partners and other departments.

  • Clerical duties such as obtaining signatures, filing, photocopying, collating, etc.

  • Oversee multiple tasks and projects simultaneously and consistently meeting deadlines.

  • Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges).

  • Update appointment calendars and schedule meetings/appointments.

  • Schedule interviews; coordinating with hiring managers.

  • Organize team events: team lunches, small hackathons/brainstorming at the office, etc.

  • Maintain teams administrative lists: organizational charts, emergency contacts, team email distributions lists, vacation and overtime, birthday and anniversaries, etc.

  • Coordinate and provide first-contact services for team members and new hires.

  • Support Leadership team: calendaring meetings, coordinating and managing agendas and managing department-wide meetings, securing travel arrangements including flights, hotels and ground transportations, and submitting expense reports.

  • Help to create a working environment that supports and promotes creativity and productivity.


  • Proactive, strong sense of urgency and excellent and creative problem solving skills.

  • High degree of resourcefulness to navigate large corporate practices and systems. Strong administrative and organizational skills.

  • Able to prioritize tasks, multi-task and possess strong time-management skills.

  • Computer savvy, proficient with Microsoft Office Suite and strong online services tools: email, search, etc.

  • Excellent written and verbal communication skills: write, speak and interact clearly and professionally.

  • Detailed oriented with good analytical skills and ability to serve as the go-to source for getting it done.

  • Highest degree of integrity and confidentiality especially in handling sensitive information.

  • 5+ years administrative experience in a corporate and/or start up setting.

Preferred Requirements:

  • Experience in a Human Resources department.

  • Experience with maintaining budgets / bookkeeping.

 Education Required:

  • Associate's Degree

Education Preferred:

  • Bachelors Degree
