Position Description:

The Portfolio Coordinator has primary responsibility for managing the processes surrounding the portfolio of projects managed by the department engineering teams. In addition, the Portfolio Coordinator will be responsible for coordinating all reporting and documentation that support the collection of and review of projects in the portfolio. The Portfolio Coordinator will be responsible for producing all reporting requirements identified by the Stakeholders and Executive. The coordinator will work closely with the various project teams in the organization to track projects through the client's Global Technology Development System (GTDS) to ensure deliverables are being met and reported. The coordinator will also be responsible for management of additional departmental meetings (agenda setting and coordination), events, and tracking departmental financial and headcount budgets.

Skills Required:

Responsibilities: • Track and analyze projects’ performance, expenditures, procurement and report about any possible or current blockers, risks, overflows, deficits • Produce reports used to drive project status and portfolio review meetings. • Responsible for collecting project information, applying tools, and coordinating the day-to-day steps of the portfolio management process. • Identify any improvement in existing processes needed to support project/program/portfolio management. • Facilitate project/program/portfolio review of key projects/programs • Create portfolio and budget health charts • Submit/Track purchase orders/invoices • Submit/Track department material purchases/receivables and reconcile monthly material expense report • Ability to develop training material and deliver training on use of project/portfolio management processes/tools. • Work with resource management on resource planning, availability and allocation according to projects timeline. • Manage department SharePoint and Technology Integrator websites. • Assemble, track, and maintain department headcount, financial, expenditures, and test vehicle budgets. • Manage respective meeting agendas (plan, schedule, coordinate) • Coordinate benchmarking vehicles and events. • Implements and maintains the necessary controls and procedures to cost-effectively protect information systems assets from intentional or inadvertent modification, disclosure, or destruction. • Update/Maintain department org charts, open position tracking/hiring status

Experience Required:

• Advanced Excel skills • 3-5 years of portfolio administration experience • Knowledge of MS SharePoint administration is a plus • Previous work as a portfolio administrator within a PMO is a plus. • Experience with project/portfolio management software applications is a plus. • Leadership skills. • Excellent project management skills. • Excellent written and oral communication skills. • Experienced meeting facilitator. • Experience working in a team-oriented, collaborative environment. • Self motivated and directed. • Ability to work independently • Ability to work well with large and diverse teams • Ability to work under pressure • Solid organizational skills including attention to detail and multitasking skills • Experienced user of MS Office toolset (Word, Excel and PowerPoint).

Education Required:

Associates, Bachelor’s Degree Preferred
