Position Description:

Lead coordination of vehicle property builds as needed. Assist work teams with tracking of deliverables to completion as needed Manage Sr. level meetings including preparing documents & completing all action items Manage & facilitate meetings as needed, including coordinating attendees, agendas etc. Assist teams with communication cascades & cross-team alignment & actions Support Chief Program Engineers on all aspects of delivering the product portfolio & brand deliverables as needed Optimize travel arrangements (transportation, accommodations, agenda) as needed based. Manages complex itineraries, to include any changes. Complete related expense reports Assists the Director & team members with preparing for meetings, to include preparing materials, obtaining materials in advance, distributing materials, & keeping the executive on schedule. Obtains appropriate support for virtual attendees as well as various media needs & other logistics Assist planned guests & manage unannounced visitors as needed Assist with coordinating & managing meetings & events such as staff meetings, all-hands meetings, off-sites, team gatherings, etc., overseeing all calendaring, communication, technology, logistics & related follow-up activities Prepare, update & organize information for meetings, reports, correspondence, presentations, budgets, etc. Edit documents for accuracy, format & arrangement of material Participate as a member the leadership team, including attending select meetings, taking notes, tracking assignments, & following up on assigned action items Assist in keeping the Director & team members well organized, to include online retrieval & archiving of documents as well as supporting the Company’s records & retention schedule Assist with special projects as needed

Skills Required:

Knowledge of project management techniques, administrative procedures, software applications (such as Microsoft Office Word, Excel, PowerPoint, etc.) records management systems, & other business procedures & terminology Excellent organizational skills, time management skills & attention to detail, to include anticipating needs & being proactive Excellent writing, editing, & proofreading skills Displays high degree of professionalism in order to maintain confidential information, deal with people tactfully, & help establish strong relationships & positive communication Ability to work collegially within a team environment in an open concept office area

Experience Required:

3+ years experience in project management with a self-starter “can do” approach

Education Required:

Associate’s degree (or equivalent)
