Responsibilities:

  1. Libraries and Storage
  • For all of the below elements within this section, design, implement and maintain effective and intuitive libraries and filing systems to house, access, renew, update and track.
  1. Contracts/BAAs (Business Associate Agreements)
  • Manage and maintain all Federal, State, Local and Supplier agreements. Ensure termination criteria and expirations are monitored to allow for timely continuation of agreements and services.

  • Create a follow up process for reviewing, updating and renewing agreements

  1. Business Continuity Plan
  • Update existing plan.

  • Cascade updated plan and ensure annual review and corporate testing requirements (such as call tree testing) are met.

  1. DRIM
  • Complete a GoRide Health Departmental Records Information Matrix (DRIM)

  • Assign GIM/GIS coding

  • Publish DRIM and store in information library

  • Manage updates as needed or at least annually

  1. Share Drive
  • Categorize all documents in the shared drive.

  • Assign ownership and AFR dates

  • Create a review/attestation process

  1. SharePoint
  • Organize existing content

  • Eliminate unnecessary content

  • Design and develop any necessary content

  • Maintain content

  1. Procedures
  • Review all existing procedures

  • Update existing procedures as needed

  • Write any required procedures

  • Create a procedure library

  • Update procedures as needed or at least annually

  1. Create and maintain the below matrixes to ensure all compliance pieces are captured and to maintain renewals as required. These matrixes provide a management tool to support all of the other functional areas identified in this document.
  • Driver’s Matrixes

  • Drivers Training – includes all required driver compliance elements to allow drivers to operate and provide services in each market. This includes a follow-up system to ensure recertifications and renewal and any licensing.

  • Driver Performance – includes ride along assessments, CSI scoring, performance highlights (e.g. awards or tickets)

  • Vehicle Matrixes – includes all required compliance elements necessary to operate and provide services in each market. This includes a follow-up system to ensure renewal of any licensing, registration, etc.

  • Dispatcher Matrix – includes all required compliance elements such as system access, training, and performance to ensure dispatchers can perform and operate in their assigned markets

  • CSR Matrix – includes all required compliance elements such as system access, training, and performance to ensure CSIs can perform and operate in their assigned markets

  • Contract & Agreements (BAAs) Matrix – includes all termination, expiration and renewal information relative to all Federal, State, Local, Supplier and Client agreements, licenses, and credentials. Used to track renewals and updates as needed to continue the same and ensure operations and services.

Skills:

  • High proficiency in Microsoft Office suite especially Word and Excel

  • Ability to write basic formulas, input conditional formatting, and design and manage pivot tables in MS Excel

  • Ability to create professional level documents including creating templates, tables of contents, object embedding, and tables in MS Word

  • Ability to work in a cross-functional environment and collaborate with multiple departments in order to gather, validate and update data and information

  • Strong organizational skills to allow for tracking assignments and tasks and report out on status

  • Strong communication skills to communicate with all levels of the team, articulate issues, and concerns and maintain a feedback loop

  • Ability to multi-task in a dynamic environment where priorities and assignments can change quickly

  • Ability to read and comprehend detailed instructions and procedures

  • Ability to use MS Outlook for email and calendar.

  • Prefer ability to use MS Project and OneNote.

  • Ability to conduct research and gather data via internet and intranet mediums

  • Familiarity with MS SharePoint

  • Our office is an open collaborative space. Candidate should be comfortable working in this environment and without designated workspace
